Right to Refuse Service

To protect the safety, comfort, and experience of all our guests and team members, Hayward Inn reserves the right to refuse service, cancel a reservation, or require a guest depart (even after a booking is confirmed) when, in our reasonable judgment, a person:

  • Fails to meet eligibility or check-in requirements
  • Presents safety, security, or health concerns
  • Engages in disorderly, disruptive, or unlawful conduct
  • Attempts to circumvent hotel policies or rate rules
  • Provides false or misleading information in connection with a reservation

Any refunds or fees will follow the applicable rate and cancellation terms associated with the reservation.

Cancellation Policy

You can choose from two cancellation options at booking (except as noted under Major Event & Special Date Cancellation below):

  • Standard Cancellation: If a reservation is cancelled within 48 hours or less prior to check-in, the guest will be subject to a cancellation penalty equal to 100% of the total charge, including all applicable taxes and fees. If a reservation is cancelled more than 48 hours prior to check-in, the guest will not be subject to any cancellation penalties.
  • Flexible Cancellation: Add a non-refundable $100 fee at booking to allow cancellations up to 24 hours before your check-in date (except as noted under Major Event & Special Date Cancellation below).

Major Event & Special Date Cancellation

The Standard and Flexible Cancellation options above do not apply to reservations that fall on, or include, major events. This includes, but is not limited to, periods of high demand such as
sports games, concerts, and University of Oregon events. For these reservations: 

  • Cancellations are not permitted within 30 days prior to the scheduled check-in date. Any cancellation request received fewer than 30 days before arrival will be subject to a cancellation penalty equal to 100% of the total charge, including all applicable taxes and fees.
  • Cancellations made 30 or more days prior to check-in will follow the applicable rate and cancellation terms associated with the reservation.

If you are unsure whether your stay falls during a major event or special date, please contact the hotel directly for clarification before booking or modifying your reservation.

Early Checkout Policy

For reservations that have received a discount, please note that you may be subject to RACK rates if the full minimum stay is not completed as originally booked. Please contact our front desk for more information and details regarding this policy. We recommend reviewing your reservation details carefully and reaching out to our front desk staff if you have any questions or concerns about our cancellation and early checkout policies. They will be happy to assist you and provide further clarification as needed.

Terms and Conditions

Your credit card is on file as a guarantee. In the event you change your plan, you must cancel or change your hotel reservation in accordance with the hotel’s cancellation policy, including any special terms that apply during major events and high-demand dates, to avoid penalties.

Accepted Payment Methods

We accept all major credit cards and select debit cards. Pre-paid credit/debit cards are not accepted.

Chargebacks

Chargeback fees will be $50 per stay. You authorize Hayward Inn to charge your card for all applicable room charges, taxes, fees, incidentals, and any agreed-upon cancellation or no-show fees.

In the event of a payment dispute or chargeback, Hayward Inn reserves the right to provide documentation to the card issuer or financial institution to support the validity of the charge. This documentation may include, but is not limited to, reservation details, signed registration cards, confirmation emails, cancellation policies, stay records, and communication with the guest.

Guests agree to contact Hayward Inn directly to attempt to resolve any billing concerns prior to initiating a chargeback. Fraudulent or improper chargebacks, including disputes made in violation of posted cancellation or no-show policies, may result in the guest being held responsible for the original charge as well as any associated administrative or processing fees permitted by law.

Hayward Inn reserves the right to decline future reservations from guests who have previously filed chargebacks deemed fraudulent or excessive

Pet Policy

Hayward Inn is a pet-friendly hotel. Guests traveling with pets must indicate this at the time of booking by selecting the applicable pet add-on. Pet accommodations include waste bags and a complimentary treat. A non-refundable pet fee of $25 per pet, per day, will be applied to the reservation.
